How to stop forgetting birthdays: a four-step system

Why birthdays slip past even organised people, and how to set reminders so you have time not only to send a greeting but to prepare a present.

Forgetting a birthday stings more than missing a meeting: a meeting can be moved, while a late greeting always sounds like an excuse. And the people who forget are rarely careless, they simply kept the date in the wrong place.

Why an ordinary to-do list fails here

Birthdays have three traits that ordinary tasks do not.

They repeat every year, while a dated task cannot do that and has to be recreated. They need advance warning, because learning about a birthday on the morning itself leaves time for a message but none for a present. And they cluster: in a family of twenty relatives, May can turn into five dates in a row.

Hence a simple conclusion. The dates of people you love belong in their own place, one that understands recurrence and can warn you more than once.

The four steps

1. Collect the dates in one sitting. Not one at a time whenever you remember, but all at once: go through your contacts, the family chat, last year’s greetings in messengers. Half an hour once beats a year of trying to recall.

2. Set two or three alerts for the dates that matter. A week ahead you choose and order a present, a day ahead you get flowers and make arrangements, and on the morning itself you send the greeting. For the outer circle a single morning alert is plenty.

3. Write down context, not just the date. What you gave last year, what they wanted, sizes, favourite colours, allergies. A year later that one line saves you an evening of choosing. In KIPRI there is a note attached to the date itself.

4. Look a month ahead, once a month. One glance at the calendar of dates at the start of the month is enough to notice three birthdays coming with two of them falling together, which is reason enough to sort the presents early. If you have no app for it, our birthday calendar gives you that overview: the whole year as a strip, plus a file for your phone calendar.

About the birth year

Storing the year is convenient: the app calculates the age, and round numbers do not slip past. But asking for the year is not appropriate with everyone, and that is no reason to leave the person out. A date without a year works just the same, only without the age.

What to do with “the month of five dates”

Such a month is a planning problem rather than a memory one, both of money and of time. Once the dates are visible in advance, May stops being an ambush: presents spread across the weeks, some are ordered early, and greetings do not turn into a conveyor of identical last-minute messages.

The whole system comes down to one move. Take birthdays out of your head and into something that will remind you without you, early enough to act.
